1. Acceptance of Terms
By accessing rapidreplyagents.com, interacting with our live demonstration models, submitting our intake form, or subscribing to any service plan, you agree to be bound by these Terms of Service ("Terms"). If you do not agree with any portion of these Terms, you must discontinue use of our website and services immediately.
2. Description of Service
Rapid Reply Agents provides AI-powered call-handling and voice-onboarding services configured for home service contractors including, but not limited to, plumbing, HVAC, electrical, garage door, appliance repair, cleaning, and related service businesses. Our public live site assistant is provided for demonstration, education, and promotional evaluation purposes.
Production deployments may include custom voice configuration, approved script and call-flow logic, AI Build Assistant onboarding, lead-capture integrations, routing rules, transcripts, summaries, and ongoing infrastructure maintenance as described in your subscription tier.
3. Demo Usage Policy
- Our live AI demonstration models are provided strictly for simulation and promotional evaluation purposes.
- Users agree not to submit malicious audio, spam calls, abusive language, harassment, or any input intended to manipulate, deceive, jailbreak, or disrupt the AI demonstration system.
- Call inputs must not contain HIPAA-protected health information, financial account numbers, payment card data, government identification numbers, or any other sensitive personal data.
- Demonstrations may not be used to conduct real business operations, take live customer orders, or replace operational receptionist functions until a production deployment is formally activated.
- Rapid Reply Agents reserves the right to terminate demo access for any user violating these terms, without notice and at our sole discretion.
4. Onboarding and Production Use
- After subscribing, clients may interact with an AI Build Assistant that collects tier-specific setup details needed to configure the production receptionist.
- Clients are responsible for reviewing and approving their scripts, disclosure language, routing rules, escalation logic, FAQs, and integration destinations before production launch.
- Call forwarding behavior, exact ring timing, busy-line routing, and after-hours routing may depend on the client's existing carrier, VoIP provider, phone system, and account permissions. Rapid Reply Agents can help document the preferred call flow, but clients may need to configure or authorize forwarding settings with their provider.
- Rapid Reply Agents may test and calibrate the agent before launch, but clients remain responsible for monitoring call quality and business outcomes after deployment.
- AI systems can misunderstand callers, omit details, classify intent incorrectly, or fail during third-party outages. The service should not be used as the sole channel for emergencies, life-safety decisions, medical matters, legal advice, payment-card capture, or licensed professional judgments.
5. Call Recording, Disclosure, and Compliance
Voice-agent calls may be recorded, transcribed, summarized, and routed to configured systems. You are responsible for complying with call recording, consent, AI disclosure, SMS, telemarketing, licensing, privacy, and customer communication laws that apply to your business, service area, and callers. We can help configure disclosure language, but you must approve the final wording.
6. No Revenue or Booking Guarantee
Rapid Reply Agents is designed to improve responsiveness, intake consistency, and lead logging. We do not guarantee booked jobs, sales, revenue, customer satisfaction, lead quality, answer accuracy, or uninterrupted availability. Results depend on factors outside our control including call volume, market demand, offer quality, follow-up speed, service area, team performance, and customer behavior.
7. Limitation of Liability
To the maximum extent permitted by law, Rapid Reply Agents is not responsible for operational, financial, dispatch, field, or customer-service decisions made by users or businesses based on testing or using the software. The demonstration and service are provided without warranty of fitness for a particular purpose, merchantability, accuracy, or non-infringement.
Users acknowledge that AI responses may be incomplete, inaccurate, delayed, or misunderstood and should not replace human judgment for complex, regulated, urgent, or high-risk situations. To the maximum extent permitted by applicable law, Rapid Reply Agents shall not be liable for any direct, indirect, incidental, consequential, special, or punitive damages arising from your use of the service.
8. Intellectual Property
All AI agent scripts, voice configurations, dialogue trees, prompt engineering, infrastructure pipelines, and system architectures provided by Rapid Reply Agents are the proprietary intellectual property of the Company. Users may not copy, reverse-engineer, decompile, replicate, redistribute, or create derivative works from any component of our service.
You retain ownership of your business data, brand assets, and any voice or script content you explicitly provide for your custom configuration. You grant us a limited license to use such content solely to deliver the contracted service.
9. Payment Terms
- Subscription services are billed monthly in advance via Stripe.
- Plans include the usage, features, and minute allotments shown at checkout or in your written service scope.
- Setup fees, overage usage, SMS charges, additional phone numbers, custom API work, and advanced integrations may be billed separately when disclosed and approved.
- All charges are non-refundable unless otherwise required by law. No refunds are issued for partial billing cycles, unused capacity, or early cancellations.
- Cancellations must be submitted before the next billing cycle to avoid renewal charges.
- We reserve the right to update pricing with at least 30 days notice for existing subscribers.
- Failed payments may result in service suspension until the account is brought current.
10. Acceptable Use
You agree not to use the service for any unlawful purpose, to harass or harm others, to violate any third-party rights, or to interfere with the integrity or performance of our systems. We reserve the right to suspend or terminate accounts that violate these terms.
11. Service Availability
While we strive for 99%+ uptime, the service is provided without any guarantee of uninterrupted availability. Scheduled maintenance, third-party outages, or force majeure events may temporarily affect service.
12. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of California, United States, without regard to its conflict of law principles. Any dispute arising under or in connection with these Terms shall be resolved exclusively in the state or federal courts located in San Diego County, California.
13. Changes to Terms
We may modify these Terms at any time. The updated version will be posted on this page with a revised "Last Updated" date. Continued use of the service after revisions constitutes acceptance of the revised Terms.
